Administrative Assistant - Hired by Matrix, Inc. - Marcus Hook, PA





Our client is the largest producer of thermoplastic resin in the Americas, the largest worldwide producer of biopolymers with the green polyethylene and the largest producer of polypropylene in the United States. With activities in the chemical and petrochemical sector, the Company has 35 industrial units concentrated in Brazil, the United States and Germany. Job Description


  • The purpose of this job is to provide administrative assistance to the site leader in managing the Company’s Marcus Hook site.

Responsibilities

Responsibilities include performing all standard administrative duties, including but not limited to:


  • Ensure office supplies and materials are ordered, purchased, and received for the main office building, OC-450, the OC-406 Warehouse office, and the two temporary office buildings adjacent to each.

  • Manage the kitchen and refreshment areas to ensure supplies remain stocked.

  • Track and manage contractor janitorial services for the facilities to ensure the cleanliness of the kitchen, bathrooms, and building are maintained.

  • Coordinate and organize luncheons and meals for the department as needed. These could be meals or refreshments for meetings or staff personnel during major plant activities like shutdowns are large project activities.

  • Manage the equipment file rooms to ensure record retention and proper filing is executed on a consistent and continual basis.

  • Manage the electronic server file system to ensure approved documents are properly stored. This includes managing access by the department personnel for the site leader.

  • Providing assistance for inputting receiving documentation to the SAP computer system for all types of materials shipped to the facility for maintenance and operations.

  • Providing receptionist duties in the atrium of the building such as greeting visitors and assisting them to department personnel, and escorting visitors into and out of the site when needed.

  • Support Month End Process; balancing the railcars for Site Logistics Coach and close out the production process via SAP.

Qualifications

  • Excellent organizational skills, attention to detail, and time management.

  • Ability to operate independently and to take the initiative in accomplishing job responsibilities.

  • Good communication skills with ability to interface well with wide variety of people.

  • Positive attitude, with an open-minded approach to learning.

  • Due to the nature of the confidential information, must demonstrate complete discretion and maturity.

  • Professional work ethic with ability to have fun at work.

  • While a two year Technical or Associates Degree in office studies or equivalent is preferred, a minimum of a high school diploma or GED is required.

  • The candidate will enjoy a fast-paced, ever-changing work scope that requires independent thinking, problem solving and a high degree of flexibility.

  • Tact, diplomacy and an ability to recognize and protect confidential information are elements of the job.
