General description: International Studies Abroad is a study abroad provider with 29 destination
countries that that encompass 73 distinct and exciting cities. ISA has been
providing quality study abroad programs for U.S. college students since 1987.
Our study abroad program sites include a variety of cities in Argentina,
Australia, Belgium, Brazil, Chile, China, Colombia, Costa Rica, Czech Republic,
Dominican Republic, England, Fiji, France, Germany, Greece, India, Ireland,
Italy, Japan, Jordan, Morocco, New Zealand, Peru, Scotland, South Africa, South
Korea, Spain, Thailand, and Turkey. We provide short-term faculty-led programs
through ISA Custom Programs; experiential programming through the ISA
Internships and ISA Service-Learning divisions and also provide study abroad
programs for high school students through our sister company ISA High School.
Working closely with the host universities abroad, ISA provides students with a
study abroad experience that is academically challenging and culturally
rewarding.
This position serves as a first point of contact related to customer service
including assistance in managing incoming inquiries and other day to day
operations. This position is based in our Westminster, Colorado office and is
a non-travel, administrative position supporting the entire office, including
various tasks assigned by senior management.
Responsibilities
Customer Service & Reception
Answering and routing of incoming phone calls from clients, upholding the
highest level of customer service and integrity per the company standards and
values when corresponding with clients. Answering basic questions where needed.
Hospitality: This position is the face of the organization when people
arrive. It is expected that this position greet clients, staff, guests, and
delivery personnel with a smile and a cordial, friendly, caring manner.
Guest Visits: Arrange guest visits which may include booking accommodations,
taxi services, arranging coffee service, other refreshments, and/or catering.
Meetings: Set up conference room for visitors and other meetings as
required. May include arranging supplies, catering, organizing refreshments,
etc.
Telephones: Daily review and handling of company voicemail. Train new staff
on phone procedures as needed.
Front Desk & Office Administration
Maintain front desk, lobby area, and conference room in a professional
manner; tidy and free of clutter.
Routinely stock front table and shelves with brochures.
Receiving incoming mail and other deliveries. Sorting, routing and
delivering mail and deliveries as required. (Forward mail to out of town staff
as needed.)
Distribute mail, printed documents and faxes received in the office.
Maintain overseas university contacts within GRS.
Maintain/create kitchen and office duty calendar.
Schedule periodic office meetings. Prepare agenda and distribute meeting
minutes, set up meeting space for Web-x meetings.
Maintain copy room organization.
Oversee ordering and organizing supplies.
Management Support
Assist Denver senior management in day to day activities including the
coordination and management of meetings and schedules.
Manage portions of projects led by senior management.
Assist with document development and Proof-reading of documents.
Facilitate UPS/Shipping.
Coordinate travel arrangements.
Coordinate visitor itineraries.
Assemble/organize expense reports.
Support data entry projects and requests.
Conduct web research and information gathering.
Perform Other Duties as Assigned
