Office & Study Abroad Program Coordinator - Princeton University - Princeton, NJ

The Department of Spanish and Portuguese is searching for an Office and Study Abroad Program Coordinator. This is an exciting opportunity to play a role in our vibrant and growing international initiatives and to provide support in a fast-paced, highly dynamic environment.

The Coordinator will provide a broad range of organizational, customer service, and communication services for the Department. The Coordinator’s responsibilities will be split three ways: 1) providing general support to the department and the manager, 2) providing support for international initiatives including three summer study abroad programs and course-related field trips, as well as new study abroad initiatives currently being developed, and 3) serving as the chairperson’s assistant.


The successful candidate will create and maintain a welcoming and productive office environment, will assist in the management of departmental activities, web site and Facebook administration, listserv upkeep and record-keeping, will manage the chair’s calendar, prepare, proofread, and prioritize communications, and provide clerical support to the chair, and will assist in the planning and coordination of the summer study abroad program processes from application and admission to pre-departure. This position reports to the department manager.


Details:
1. Provides general office support – reception, mail, copier, supplies, office equipment, media service requests, classroom requests, one-time room requests, communications (directories, listservs, telephones), web site and Facebook entries, online office hours for faculty, prepares materials for faculty meetings, orders food for meetings and handles the set-up/clean-up


2. Provides support for international initiatives including Princeton in Spain, Princeton in Brazil, and Princeton in Argentina – publicity, processing applications utilizing the Global Programs System (GPS), maintaining records, monitoring group travel registration in Concur, updating and enhancing web site and Facebook, handling student documents, coordinating plans/information with staff at the locations abroad, communication with students regarding program requirements, prepares students to go abroad; assists with coordination of course-related field trips


3. Serves as the chairperson’s assistant – calendar, handling phone calls/relaying messages, processing and prioritizing email, handling documents including faculty search materials, communicating with faculty, organizing meetings, providing clerical support, assisting with BlackBoard and course preparations


Essential Qualifications


Position Requires:


  • One to three (1 – 3) years of related work experience

  • Ability to work independently with minimal supervision and as part of a team

  • Superior interpersonal skills and the ability to communicate effectively with a broad array of people

  • Excellent organizational skills, including the ability to set priorities and juggle competing demands

  • Tact, excellent judgment, and the ability to maintain confidentiality when handling sensitive situations and information

  • Initiative and flexibility are critical

  • Excellent project coordination skills with particular attention to detail and accuracy

  • Advanced computer skills (Microsoft Office, PeopleSoft, SharePoint, Roxen/Drupal, Concur, Global Programs System)

Preferred Qualifications


Preferred:


  • Familiarity with Princeton University campus resources, computing systems, and culture a plus

  • Bachelor’s degree preferred

  • Spanish and/or Portuguese language skills a plus

  • Knowledge of study abroad programs a plus

NOTE: This position works 11 months with a 1 month break during the summer.
